Process automation

Offer letters and onboarding documents

Builds the offer letter from the agreed terms, gets it approved, sends it for signature, then collects every joining document before day one.

What it does

A document automation for placements. When a candidate verbally accepts, the agreed terms fill the client's offer template. HR and the hiring manager approve it, and the candidate signs online. Acceptance starts the joining checklist: ID, address proof, education and experience letters, bank details. Reminders go out until everything is in, HR checks each document, and the new hire arrives ready to start.

The problem

Offer letters were typed into a template by hand and emailed for approval, and joining documents were chased over weeks of calls. Some new hires turned up on day one with half their paperwork missing.

Approach

The template takes the terms exactly as agreed, so nothing is retyped. Approvals run in a fixed order and a rejected offer goes back with the comment. Document collection runs on reminders with an end date; HR checks every document before marking the candidate ready.
