Itinerary drafts with agent approval

Drafts a day-by-day itinerary from the agency's own hotels and tours, checks timings, transfers and closing days, and lets the agent edit before the client sees it.

What it does

An itinerary automation for a tour operator. From the trip brief, it drafts a day-by-day plan using only the agency's contracted hotels, guides and tours. It checks the real constraints: driving times between cities, attractions closed on certain days (the Taj Mahal on Fridays, for example), check-in times and how tiring a day is for older travellers. The agent edits, the client comments, and changes go back for a new version until the client approves.

The problem

Agents rebuilt similar itineraries from old Word files for every enquiry. A ten-day trip took most of a day, and mistakes such as a closed monument or a seven-hour drive slipped through.

Approach

The draft can only use suppliers the agency has rates for, so every line can be priced. A rules check catches closing days, long drives and impossible connections before the agent sees it. The agent approves every version, and client comments create a new version rather than overwriting the old one.
