What it does
A reminder and rebooking system for a multi-doctor clinic. Every booking gets a confirmation and reminders two days and two hours before. Patients reply to confirm, move or cancel. A moved appointment gets new slots straight away, and a cancelled one is offered to patients on the waitlist, first to accept gets it. The front desk only steps in to approve swaps.
The problem
One in five or six patients didn't turn up, and the front desk spent the morning phoning people to confirm. A late cancellation usually meant an empty chair.
Approach
Reminders go out on a fixed schedule and the reply is read for intent, so "can we do Friday" is treated as a move, not a cancel. Free slots go to waitlist patients who asked for an earlier time, in order. A person confirms each swap, because the doctor, the room and the treatment length have to fit.
