Process automation

Subcontractor RA bill approvals

Checks each subcontractor's running account (RA) bill against the contract rates and measured quantities, applies retention and recoveries, and routes it for approval.

What it does

An approvals automation for a main contractor. Subcontractors submit RA bills each month. Every line is checked against the work order rate and the quantity measured on site; quantities above what was measured, or rates above the work order, are flagged. Retention, mobilisation advance recovery, material issued and TDS are calculated. The site engineer confirms the quantities, the project manager approves, and the bill is scheduled for payment. A rejected bill goes back to the subcontractor with the reason.

The problem

Bills were checked by hand against paper measurement books, recoveries were forgotten or applied twice, and approvals sat in someone's inbox. Subcontractors waited two months for money, and good ones stopped bidding.

Approach

The work order is the source of truth for rates; the measurement book is the source for quantities. Cumulative quantities are tracked, so nothing is billed twice across RA bills. Recoveries follow the contract terms. Two people sign every bill, and every rejection carries a reason the subcontractor can act on.
